Department Overview:

The College of Letters and Science Student Academic Affairs (SAA) unit strives to enrich the student experience for L&S affiliated students from the time of their application to UW-Madison through their graduation and beyond. Within SAA are a number of offices and departments supporting that vision, including the Undergraduate Scholarship Office.
L&S' Undergraduate Scholarship Office manages and awards almost 400 scholarship opportunities to incoming and continuing L&S undergraduates each year. This office works closely with campus partners, donors, and UW Foundation to support the university’s commitment to increasing need-based aid and scholarships to provide increased affordability and access to undergraduate students.

The L&S Undergraduate Scholarship Office also supports Phi Beta Kappa (PBK), a national honor society for highly successful students in the liberal arts. Phi Beta Kappa is the oldest and most prestigious honors society in the United States, founded at William and Mary College in 1776. The University of Wisconsin has had its own PBK chapter since 1899, the Alpha Chapter of Wisconsin. The Phi Beta Kappa Alpha Chapter of Wisconsin typically invites 150 high achieving L&S undergraduate students to join PBK each year.

Schedule:

Hours will typically take place during business hours (Monday - Friday, 8:00 AM to 5:00 PM) though there may be occasional evening and weekend work. The work schedule is flexible with consideration of the overall staffing and the student experience.

Qualifications:

Required Qualifications:
- Second or third year undergraduates
- Experience in leadership or campus involvement
- Ability to work independently
- Competency using MS Office products and new technology systems
- Good communications skills
- Commitment to collaboration, inclusion and confidentiality (FERPA)

Preferred Qualifications:
- Skill or experience with graphic design, Canva, and/or social media.

Knowledge, Skills & Abilities:

- Skills and knowledge related to time management, communication, project management, Microsoft Office tools, Canva, and other tools are preferred.
- Ability to work independently while moving the team goals forward
-Willingness to learn

Position Summary/Job Duties:

The Student Administrative Coordinator works with a team to assist with the management of L&S scholarship applications, awards, and stewardship materials. The Student Coordinator also works closely with the management and communication for the Phi Beta Kappa academic honor society, a prestigious liberal arts organization.

The major responsibilities include proofing written text, entering information/data, communication with students using email tools, editing webpages and on-line text, reserving facilities, publicizing events and scholarship opportunities, managing spreadsheets, administering mailings, and other program support. An example of on-going work would be creating and editing PowerPoint presentations; writing to recipients to finish thank you letters; entering data into Excel spreadsheets; creating lists using Excel of recipient demographic information; entering scholarship descriptions into the WiSH system; ordering recipient photos for donors; creating Instagram posts using CANVA, etc.

This is a minimum 2-year position. The work schedule is flexible with consideration of the overall staffing. The work environment is supportive, friendly, and committed to an inclusive University and to the success of all employees, including students. The student coordinators are a highly-valued part of the work team.

Work-study is required for this positions.

Physical Demands:

Work is performed in an office environment and requires the ability to operate office equipment and computer. There will be periods where staff are asked to lift and carry boxes or items of 10 pounds or less and to travel around campus/Madison to deliver and pick up materials.
