Department Overview:

The Global Engagement Team Interns (GETIs) will support the mission of International Student Services (ISS) and the Global Engagement Team (GET) by assisting with international engagement initiatives at UW-Madison. The GET is responsible for the year-round planning, coordination, and assessment of ISS engagement events and co-curricular activities. Each intern will have a concentration on one or more ISS programs but will also receive cross-training for all GET initiatives.

International Student Services (ISS) recognizes international students as a vital part of UW–Madison. We are committed to educating and empowering students to make informed decisions and working with them to advocate for a globally inclusive community. We support this through four strategic areas: advising, compliance, operations, and global engagement.

Schedule:

Weekly scheduled shifts that are decided between student intern and their supervisor plus some evening and weekend work for events. Must be flexible and willing to work some evenings and weekends. These evening and weekend shifts will be scheduled in advance so
you can plan accordingly.

Knowledge, Skills & Abilities:

GETI General Responsibilities

Event Preparation, Promotion, and Facilitation
- Assist with logistics, such as scheduling events, booking rooms, coordinating technology needs, working with campus partners and student organization leaders
- Create promotional materials, including flyers, displays and social media content and scheduling them using Meta Business Suite
- Help with set-up support or tech support at ISS programs (especially after hours events)
- Facilitate discussions and encourage participation in events through leading by example
- Potentially taking photos or videos at ISS events

Social Media, Graphic Design, and Additional Projects
- Develop and update web content and resources, particularly for incoming students such as pre-arrival and arrival / orientation resources
- Assist with training newly hired interns
- Assist Global Engagement Team in connecting with students in an effective/meaningful way
- Contribute ideas and help design new initiatives and activities that promote intercultural learning and cross-cultural communication
- Collect student feedback and aid in data analysis and assessment
- Meet weekly or bi-weekly with assigned supervisor and complete performance reviews every six months
- Attend monthly retreats with other interns and Global Engagement Staff
- Other duties as assigned

Position Summary/Job Duties:

Specific Job Duties for Global Badger Experience Grant (GBEG) Assistant:

- Assist with the overall management of the grant process in collaboration with the Global Engagement Team International Engagement Coordinator responsible for administering the grant.
- Familiarize yourself with the GBE Grant Policy Manual to understand the eligibility criteria and application process.
- Assist applicants in navigating the online application process by providing guidance and answering queries related to the GBE Grant.
- Check grant email inbox and respond to questions.
- Review and evaluate grant applications for completeness and adherence to the grant guidelines, utilizing the grant manual and training information.
- Maintain a comprehensive database of grant applications, ensuring accurate and up-to-date records of all submissions. Professionally communicate with international division finance staff and assist with budget management and updates.
- Meet with supervisor regularly in a one-on-one setting to review grant applications, discuss budget updates, answer questions and enhance grant procedures.
- Provide administrative updates to supervisor via teams and in person or over video calls weekly.
- Practice self reflection and pursue opportunities for growth with supervisor.
- Support the management of the GBE Grant logo usage by providing guidelines to grant recipients and ensuring compliance with logo usage requirements.
- Coordinate post-event assessments by communicating with grant recipients and reminding them to submit the required documents, such as itemized receipts, flyers, event agenda, and event photos.
- Collaborate with the team to document lessons learned and best practices from grant-funded events and provide insights for future grant cycles.
- Create and/or enhance marketing strategies to promote the grant - including but not limited to presentations, print flyers, social media, website, campus connections etc.

Physical Demands:

Able to sit for long period in an office or stand for a few hours at an event. Ability to lift 15 lbs and push / pull a cart would be helpful.
