Department Overview:

The Travel & Card Team in the Division of Business Services is responsible for the administration and maintenance of the university’s expense reimbursement program, purchasing card program, and managed travel program. The team works closely with divisional and departmental staff as well as campus leadership to operate efficient and effective programs while also adhering to university, state and federal policies and procedures.

We offer flexible scheduling during standard business hours, M-F, 7AM-4PM.

Salary/Wage Range/Lump Sum:

Minimum: $12.50 Maximum: $19.00

Qualifications:

• Major in a business-related field of study (freshman or sophomore preferred)
• Demonstrate professionalism and competence in the campus environment
• Maintain a strong campus focus, be responsive to campus requests, and develop/maintain productive working relationships with campus personnel
• Demonstrate teamwork, integrity, and accountability
• Contribute ideas/opinions to teams and listen/respond to other views
• Use technology to continually learn and to enhance service delivery
• A criminal background check will be conducted prior to hire

Knowledge, Skills & Abilities:

• Excellent customer service skills
• Attention to detail
• Strong written and verbal communication skills
• Strong analytical, teamwork and organizational skills
• Integrity, maturity, dependability, a positive attitude and enthusiasm in the performance of responsibilities
• Proficiency in spreadsheet, word processing, and presentation applications
• Ability to work onsite in Madison over summer 2025

Position Summary/Job Duties:

• Learn about the travel, card, and expense reimbursement processes
• Assist in the day-to-day operations of the Travel and Card Area and provide input on improvements that could be made
• Work closely with other Travel and Card program managers and campus business offices
• Prepare non-employee profiles for expense reimbursement purposes
• Process purchasing card applications
• Monitor recently-ordered cards for receipt/activation
• Track ACH failures
• Run queries regularly to help maintain Travel & Card Team programs
