Department Overview:

The Office of the Provost-Faculty and Staff Affairs, coordinates the Graduate Assistants’ Equity Workshops, (GAEWs). These are employee professional development workshops offered each academic year for Teaching Assistants (TAs), Program/Project Assistants (PAs) and Research Assistants (RAs).
OEL Interns accepted into the program also have access to individualized mentorship, structured professional development workshops, and 1-on-1 career advising that will support their growth professionally and personally as they work in environments dedicated to supporting student success at UW-Madison.
The GAEWs provide participants with information regarding rights, responsibilities, workplace expectations, and resources; promote belonging, excellence, and inclusion; and foster student and employee success. The GAEWs assist TAs, PAs, and RAs as they carry out their job responsibilities in teaching, learning, and research and advance critical campus strategic priorities.
GAEWs have two components: • A live, three-hour, virtual workshop offered seventeen times each Fall and Spring semester • A companion asynchronous course, the GAEW Digital Workshop offered via Canvas.
The GAEW Intern supports the workshops by serving as the live, virtual workshop producer; collaborates with the presenters, content creators, and subject matter experts who present at the live, virtual workshops; coordinates communications with the presenters, campus partner offices and workshop participants; collaborates with the Office of Human Resources, (OHR), the Division of Information Technology, (DoIT); and other campus partner offices; updates the GAEW website, and collaborates with the GAEW Coordinator. |

Knowledge, Skills & Abilities:

• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) • Strong organizational and time management skills • Effective and timely written and verbal communications • Ability to collaborate with multiple campus partners and stakeholders • Strong attention to detail, communications, and problem-solving skills • Ability to manage multiple projects and deadlines throughout the semester • Demonstrated professionalism and interpersonal communications skills • Experience with, or willingness to learn, virtual meeting and learning platforms (e.g., Zoom, Canvas) • Ability to troubleshoot technical issues during live virtual events • Commitment to accessibility, belonging, and inclusion in professional development programming.

Position Summary/Job Duties:
|
• Maintains consistent and timely communication with the GAEW Coordinator to ensure the success of the GAEW program and the DTL, OEL Internship program. • Collaborates with the GAEW Coordinator to identify, schedule, and coordinate live virtual workshop sessions for the Fall and Spring semesters. • Compiles, reviews, and prepares GAEW live virtual slide deck presentations developed by UW–Madison campus partner offices, content creators, and subject matter experts. • Generates and manages Zoom meeting links and settings for each GAEW live virtual workshop. • Creates and distributes calendar invitations and logistical information for workshop presenters and participants. • Serves as the Zoom producer and technical facilitator during each GAEW live virtual workshop, managing presentation controls, participant settings, screen sharing, breakout rooms, and chat moderation. • Produces seventeen live, three-hour virtual workshops each academic year, offered Monday through Thursday evenings (5:00–8:00 PM) and Friday mornings (9:00 AM–12:00 PM). • Meets with GAEW Coordinator prior to and after, each GAEW live, virtual workshop to plan, debrief, and incorporate changes as needed. • Admits participants, monitors attendance, and troubleshoots technical issues during workshops to ensure smooth delivery of the sessions. • Welcomes participants and provides introductory remarks and session guidance at the beginning of each live, virtual workshop. • Tracks and documents workshop attendance via WORKDAY and maintains accurate attendance, completion, and participation records. • Coordinates and communicates with campus partner offices, including Office of Human Resources, (OHR); Division of Information Technology (DoIT); and other university partners and stakeholders who participate in the design, development and implementation of GAEW programming. • Responds to participant inquiries and support requests before, during, and after workshop sessions. • Drafts and distributes follow-up communications to workshop participants, including resource links, workshop materials, and additional information. • Updates and maintains the GAEW website, ensuring that workshop schedules, resources, and information remain accurate and accessible. • Collaborates with the GAEW Coordinator to draft and distribute Fall and Spring communications to the UW–Madison campus community regarding workshop schedules of sessions, registration links, and updates. • Assists with reviewing workshop materials for accessibility and compliance with UW–Madison digital accessibility guidelines, including upcoming campus accessibility requirements.
