Qualifications:
Required: • Must be enrolled as a graduate student at UW-Madison • Strong organizational skills and attention to detail. • Ability to manage multiple tasks and deadlines. • Excellent written and verbal communication skills. • Comfortable working with spreadsheets and administrative systems. • Ability to work independently and maintain confidentiality. Preferred: • Experience with UW–Madison administrative systems (e.g., Workday, e-Reimbursement). • Prior experience in research administration, budgeting, or HR support. • Familiarity with grant-funded environments. • Interest in academic or research operations.
Knowledge, Skills & Abilities :
Graduate student with prior office experience, proficiency in using Excel spreadsheets, problem-solving ability, excellent written and oral communication skills, and the ability to work independently.
Position Summary/Job Duties:
Grant & Budget Administration (40%) • Monitor, track, and reconcile expenditures across multiple research grants. • Prepare periodic budget summaries for PIs, highlighting spending trends and upcoming deadlines. • Assist with forecasting and planning to ensure compliance with sponsor and UW policies. • Coordinate with department and L&S Research Administration for financial transactions and reporting. Travel & Expense Reimbursements (35%) • Prepare, submit, and track travel reimbursements, purchasing card (P card) transactions, and other expense claims. • Ensure documentation meets UW–Madison and sponsor requirements. Student Hiring & Personnel Support (15%) • Monitor grant spending related to hiring of TAs, RAs, and student hourly employees for both PIs. • Track appointment dates, funding sources, and workload distributions. General Administrative Support (10%) • Maintain organized digital records for budgets, reimbursements, and personnel files. • Support scheduling, meeting coordination, and communication for the research groups. • Assist with occasional event logistics (e.g., workshops, visitor itineraries).
Physical Demands:
Sedentary work. Substantial movements of the wrists, hands, and/or fingers. Required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading.
