Department Overview:

The Graduate School is dedicated to upholding the highest standards and policies for graduate education across the university. It plays a pivotal role in advocacy, communication, and the promotion of diversity, enhancing the quality of graduate programs.

This role involves greeting and assisting visitors, addressing inquiries through various communication channels, and performing clerical tasks to support the Graduate School's operations.

Candidates should be available during the Spring and Fall semesters, with a preference for those who can also work in the summer. The position offers 4-8 hours per week, tailored to fit the student's class schedule.

Anticipated Hours Per Week:

Minimum: 4 Maximum: 8

Schedule:

Minimum 4 hours a week during fall and spring semesters, based around the employee's class schedule.

Fall/Spring Open Hours: M-F 10:00-3:00

For Fall 2026, candidates must have availability some hours within the following times:

Tuesdays 1:00-3:00
Wednesdays 12:30-3:00
Thursdays 10:00-12:00

Strong preference will be given to applicants available on Thursday mornings.

Qualifications:

• Current undergraduate student status
• Strong communication skills in various formats (in person, phone, writing)
• Strong Customer service and problem-solving skills
• Able to work independently but willing to ask questions as needed

Knowledge, Skills & Abilities:

• Outgoing and enthusiastic personality
• Excellent customer service, problem solving, and communication skills
• Strong ability to think and work independently
• Strong attention to detail and excellent organizational skills
• Willingness to learn processes, procedures, and technology
• Dependability, reliability, and positive attitude

Position Summary/Job Duties:

• Answer front line questions or direct and refer questions to appropriate members of the Graduate School staff
• Receive and sort incoming mail
• Transcript processing and uploading
• Utilize Student Information Systems (SIS), and graduate school databases for data entry
• Protect confidentiality while working with student records (FERPA compliance)
• Ad-hoc project requests
• Other office duties as assigned by supervisor or Graduate School staff

Physical Demands:

Must be able to work at a computer for an extended period.
